Prompt templates reuse CRM data through grounding, but only users with the right permission sets can access and run them. Creating and managing templates in Prompt Builder is a separate permission path from running those templates in a workflow. Merge fields, Apex, and Flow are how Prompt Builder securely reads Salesforce data, while personally identifiable information stays in Salesforce and is not shared with the LLM.

  • To access and run prompt templates outside Prompt Builder, assign the Prompt Template User permission set. To create and manage templates in Prompt Builder, assign the Prompt Template Manager permission set, which includes Manage Prompt Templates and Execute Prompt Templates, or the Customize Application permission set.

  • If a custom permission set is created for Prompt Builder and field generation templates are not visible, grant object access to prompt templates and the ExecutePromptTemplate and ManagePromptTemplate permissions.
