Controlled by Parent is an organization-wide default that ties what a user can do on a child record to what they can do on the parent it belongs to. A user can view, edit, or delete that child only if they can take the same action on the associated parent, such as editing a contact only when they can also edit its account. Contact and Asset start at this setting so those children follow the parent instead of having a separate sharing baseline.

  • Organization-wide defaults set the baseline access users have to records they do not own. For most objects that baseline can be Controlled by Parent, Private, Public Read Only, or Public Read/Write.
More details and nuances
  • Unlike a Private activity, which users can view and report on if they have read access to the associated record, Controlled by Parent on activities requires the matching action on the associated records. A user can view, edit, transfer, or delete a task linked to both the Acme account and the John Smith contact only if they can take that same action on both records.
