Every Salesforce org ships with standard profiles: prebuilt, mostly locked templates that give each user one baseline of access tied to a single user license. You cannot change standard profile permissions, so the recommended pattern is to assign Minimum Access - Salesforce (or a clone of it when default settings must differ) and then add only the extra access a person needs with permission sets. Cloning a standard profile is how you create an editable custom profile that keeps the same user license as the original.

  • A profile is the one baseline assigned to each user: default apps, record types, page layouts, and a starting set of permissions. Every profile belongs to exactly one user license type.

  • System Administrator is not a catch-all: it cannot use features that require an extra license (for example, campaign management needs a Marketing User license), and it includes View All Data and Modify All Data, which override sharing settings.
