A report format is the layout Salesforce uses to present matching records: a flat list, a list grouped into subtotals, or a grid grouped both down and across. Tabular is the default because it is the fastest way to produce a simple list. Summary and matrix exist so you can organize the same records into groups, charts, and dashboard-ready totals instead of scanning every row.

Core information
  • Tabular, summary, and matrix are the three report formats, and tabular is the default. Think of tabular as a spreadsheet list, summary as that list plus row groups and subtotals, and matrix as a grid that groups both rows and columns.
More details and nuances
  • Tabular reports cannot create groups or charts on the report itself, and they cannot appear on a dashboard unless you add a row limit of 10, 25, or a custom value from 1 to 99 and set a name and value for the widget. Changing the report format drops those row-limit settings, and switching from tabular to summary or matrix removes the Rows to Display filter.
